Introduction:

Talent-Relay is urgently seeking a highly organised and customer-focused Installation Project Coordinator / Project Manager to support the successful delivery of technical installations within a fast-paced and regulated environment throughout Germany. This role is responsible for coordinating installation activities, managing multiple projects simultaneously, and ensuring an excellent customer experience from planning through to go-live.

The successful candidate will work closely with customers, field engineers, operational teams, third-party suppliers, and internal stakeholders to ensure installations are delivered safely, efficiently, and in line with company processes and compliance standards.

Key Responsibilities

  • Coordinate installation projects from initial planning and site surveys through to completion and handover.
  • Schedule engineers, resources, and installation activities to maximise efficiency and delivery performance.
  • Manage multiple installation projects simultaneously while maintaining high levels of accuracy and organisation.
  • Act as the primary point of contact for customers throughout the installation lifecycle.
  • Liaise with engineers, logistics teams, subcontractors, distributors, and other stakeholders to ensure smooth project execution.
  • Monitor project progress, identify risks or delays, and implement mitigation actions where required.
  • Maintain accurate records within CRM and project management systems.
  • Ensure installation documentation, compliance records, and quality processes are completed accurately and on time.
  • Provide regular project updates, reporting, and KPI tracking.
  • Support continuous improvement initiatives to enhance operational efficiency and customer satisfaction.

Required Qualifications, Skills and Experience

  • Previous experience in an Installation Coordinator, Project Coordinator, Installation Manager, or Project Manager role.
  • Experience working within a regulated or technical environment, ideally healthcare, MedTech, medical devices, or similar industries.
  • 1–3 years’ experience managing schedules, field-based operations, or customer delivery projects.
  • Strong organisational and time management skills with excellent attention to detail.
  • Excellent communication and stakeholder management skills.
  • Ability to work effectively in a fast-paced environment and manage multiple priorities.
  • Experience using CRM systems, project management tools, and Microsoft Office applications.
  • Customer-focused mindset with a proactive and solution-oriented approach.
  • Ability to work independently and collaboratively within cross-functional teams.
  • Fluent German language skills.

Desirable Skills and Experience

  • Experience using project management or workflow platforms such as Monday.com or similar tools.
  • Exposure to ISO standards, quality systems, or regulated compliance environments.
  • Technical or IT-related background.
  • Experience working with third-party vendors, subcontractors, or distributors.
  • Additional language skills.
